However, if an author wishes to provide an external cover design, the following steps must be adhered to to facilitate the production process:

Submission Guidelines

1. File Format Requirements:

   • All original design files must be submitted in either Adobe Photoshop (.psd) or Adobe Illustrator (.ai) format.
   • The files must contain non-flattened layers for easy editing and adjustment across platforms.
   • We do not accept PDF files for cover designs.

2. Bundling Files:

   • All relevant files (design, fonts, and images) must be compiled into a single zip file.
   • The zip file must also include a signed release form (in PDF format) granting Evolve Systems Group Pty Ltd the right to use and modify the design as needed.

3. Image Requirements:

   • Any images used in the design must be 300 DPI or higher to ensure print quality.
   • The images must not be AI-generated.
   • The author must have ownership of all images used in the design. Documentation proving ownership (such as a license or purchase agreement) must be included in the submission.

4. Font Requirements:

   • Any fonts used in the design must be provided in a Windows-compatible format.
   • The fonts must be licensed for commercial use. Documentation proving the license should be included if applicable.

5. Ownership and Usage Documentation:

   • A signed release form must be included, acknowledging that the Company has full rights to use and modify the design for commercial purposes, including distribution across various platforms.
   • The author must provide documentation proving ownership or appropriate licensing for any third-party elements used (such as stock images or fonts).

Important Notes

• Failure to comply with these requirements may result in delays in the production process or rejection of the submitted design.
• The Evolve Systems Group Pty Ltd team may make necessary adjustments to the design to ensure compatibility across various platforms.

Design Transfer Agreement

This Agreement governs the transfer or license of Intellectual Property Rights in designs supplied by an external Designer, engaged by an Author, for use in materials, including book covers, by Evolve Systems Group Pty Ltd ("Company").

By entering into this Agreement, the Author and Designer agree to the terms set forth below, transferring all necessary rights to the Company.

Parties

The parties to this Agreement are:

1. Evolve Systems Group Pty Ltd (the "Company"),
2. The Author, as identified in the accompanying project details (the "Author"), and
3. The Designer, as identified by the Author as the creator of the supplied design (the "Designer").

Date of Agreement   

This Agreement is entered into on the date the Author submits the Design to Evolve Systems Group Pty Ltd for use in the book cover or related materials.

Terms

1. Definitions

• "Design" means the visual work created by the Designer and provided by the Author to the Company for use in the cover or related marketing materials.
• "Intellectual Property Rights" include all copyrights, design rights, or other proprietary rights applicable to the Design.
• "Transferred Design" refers to the Design supplied by the Author and used by the Company.

2. Provision and Use of the Design

The Designer and Author agree that the Company may use, modify, reproduce, and distribute the Transferred Design in all formats and media related to the book cover and associated promotional materials.

3. File Submission Requirements

a) The Design must be provided in an editable format compatible with professional publishing standards (e.g., Adobe Photoshop or Illustrator).
b) All necessary images and fonts must be included.
c) The submission must include this signed release form granting the Company full usage rights.
d) All images must be high resolution (300 DPI or better) and not AI-generated.

4. Assignment of Intellectual Property Rights

Upon submission of the Transferred Design, the Designer assigns to Evolve Systems Group Pty Ltd all Intellectual Property Rights necessary for the Company’s intended use of the Design.

5. Third-Party Intellectual Property

The Designer warrants that the Design does not infringe third-party rights unless explicitly disclosed and that appropriate licenses have been obtained.

6. Liability and Indemnification

The Designer and Author indemnifies Evolve Systems Group Pty Ltd against any claims arising from the breach of Intellectual Property Rights or third-party rights.

7. Governing Law

This Agreement is governed by the laws of New South Wales, Australia.
